Job Description

Job Title: Payroll Specialist Department: Accounting

Reports to: Controller

Job Summary:

This position is responsible for full cycle payroll and some A/P vendor accounts and bank account reconciliations.

Essential Duties and Responsibilities for Payroll:

Full cycle payroll inclusive of analyzing accuracy of recorded times and proper coding of timecards, preparing and inputting payroll data. Uses Viewpoint by Vista software package to produce accurate timely bi-weekly payroll and monthly commission payroll.

Maintenance of timekeeping and timekeeping systems – Paylocity, Field Connect and Keystyle.

Full cycle Certified Payroll submission processing and distribution to respective recipient’s clients/state/federal.

Process employee expense reimbursements, mileage and per diem payments.

Ensures compliance with all applicable state and federal wage and hour laws.

Certified payroll – craft class templates setup calculations.

Prepares monthly, quarterly and year-end reports out of VMS. Verifies that information is correct.

Solves problems concerning payroll, answers employee inquiries and enforces payroll policies.

Assists in development of overall payroll procedures by recommending improvements or changes when deemed necessary for greater efficiency.

Processes and maintains files for employee deductions, garnishments and other related court orders. Ensures that deductions are in accordance with applicable state and federal laws.

Monthly apprentice report

Monthly reconciliations of all payroll associated general ledger accounts.

Assist with company gas card administration and maintenance.

Essential Duties and Responsibilities for Accounting

Enter AP invoices, process payments, and reconcile account for EST vendor account.

Enter AP invoices for other misc vendor accounts (insurances, leases, Securecom)

Bank account reconciliations.

Provide other backup tasks for accounting team as needed when staff is out of office or behind schedule with processing.

Knowledge & Skills Requirements:

3-5 years payroll accounting experience

Must have the ability to maintain confidential information

Must have a solid understanding of payroll and current payroll tax laws

General knowledge of accounting/bookkeeping procedures

Able to thrive in a high volume/fast paced environment

Detail oriented, flexible, organized, driven and multi-tasker

Self-starter, critical thinker, team player and positive attitude

Knowledge & Skills Preferences:

Bachelor’s degree or equivalent experience

Construction accounting knowledge is highly preferred

Paylocity experience is a plus

Viewpoint by Vista software experience is a plus

Proficient in MS Excel

Certified payroll submission experience is necessary
