Job Summary The School Administrative Assistant plays a crucial role in the daily operations of the school, ensuring a welcoming and efficient environment for students, staff, and visitors. This position involves a wide range of administrative and clerical tasks, supporting the school's leadership team, teachers, and administrative staff. We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential support to our office operations, ensuring efficient workflow and excellent customer service. This role requires strong computer literacy, effective communication skills, and the ability to manage multiple tasks in a fast-paced environment. Bilingual candidates are encouraged to apply.

Responsibilities

  • Perform data entry tasks accurately and efficiently to maintain up-to-date records.
  • Manage office communications, including answering phone calls and responding to emails.
  • Provide exceptional customer service by addressing inquiries and resolving issues promptly.
  • Assist in office management tasks, including scheduling appointments and maintaining calendars.
  • Proofread documents for accuracy and clarity before distribution.
  • Organize files and maintain an orderly office environment.
  • Utilize various office equipment and phone systems effectively.
  • Collaborate with team members to support ongoing projects and initiatives.
  • Maintain and organize school records, student files, and databases.
  • Assist with the preparation and distribution of school communications, newsletters, and announcements.
  • Schedule and coordinate meetings, appointments, and events for school staff and administration.
  • Handle daily attendance reporting and follow up on student absences.

Qualifications

  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • Proven experience as an administrative assistant or in a related clerical role is preferred.
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite.
  • Excellent organizational skills with a keen attention to detail.
  • Ability to communicate effectively in both written and verbal formats; bilingual skills are a plus.
  • Familiarity with office management procedures and basic accounting principles is advantageous.
  • Strong customer service orientation with the ability to handle sensitive information confidentially.
  • Ability to work independently as well as part of a team in a dynamic environment.
  • Ability to multitask and prioritize tasks in a busy environment.
  • Friendly and professional demeanor with strong interpersonal skills.

Work Conditions

  • This position typically works during school hours with occasional after-hours requirements for school events.
